Finance and Special Projects Temp

What You Will Do:

In this temporary role, you will be assisting our finance team with accounts payable and cash management. You would also help with special projects such as, purging and organizing financial files in accordance with retention policies. This short term role requires someone who is meticulous, organized and able to handle confidential information responsibly.

Responsibilities:

Finance-

  • Enter invoices into the accounting program in preparation of payment.
  • Ensure that all bills are paid in a timely manner via check or ACH.
  • Review all requisitions and invoices to ensure that expenditures are appropriate, approved and receipts are attached with supporting documentation if necessary.
    • Document on all payables the account code expense payments were posted to.
  • Prepare credit card and charge account reconciliations.
    • Code Expenses to appropriate accounts.
    • Post A/P for credit card charges in accounting software.
  • Manage A/P accounts- Set up in the system, set up accounts with vendors and make any changes as necessary, cancel accounts as needed.
  • Run reports regarding expenses for supervisors and Department Admins upon request
  • Train Staff on procedures of submitting requisitions and receipts.
  • Mail- Open-File- and distribute to the appropriate departments.
  • Write Monthly checks and make deposits for representative payee accounts
  • Coordination with Direct Care Staff for Representative Payee clients-providing paperwork for benefits, communicating required information to Social Security.
  • Reconcile all representative pay bank accounts.

Archiving/Purging-

  • Review and identify financial documents for disposal or retention.
  • Organize, sort, and properly discard outdated records.
  • Ensure compliance with data privacy and retention guidelines.
  • Maintain Confidentiality while handling sensitive information.

Skills/Abilities

  • Ability to maintain confidentiality, comprehend laws, regulations, and policies, and the ability to follow such laws, regulations, and policies and report when they are being violated
  • Ability to interact with individuals of various backgrounds, sexual and gender orientations, education levels, and socio-economic status effectively, tactfully, and empathetically with a culturally responsive nature, especially with those experiencing a crisis and in stressful situations
  • Ability to communicate effectively in both written and oral formats with clarity and purpose, including the ability to complete objective, accurate documentation in a timely, consistent manner
  • Have computer skills and comfort with online platforms including, but not limited to the ability to document, use electronic time tracking, and the ability to use Google Workspace, specifically Drive, Meets, Spreadsheets, Word documents, and email.
  • Ability to work as a team member, establish priorities, and manage time effectively to meet deadlines ( if applicable).
  • Display a non-judgmental attitude, and a willingness to learn new skills.
  • Demonstrated ability to work independently and follow verbal and written instructions.
  • Detailed-oriented; ability to maintain accurate records and necessary paperwork.
  • Ability to provide advocacy, as appropriate, and maintain professional boundaries.

Knowledge and Qualifications :

  • Experience with and/or understanding of individuals and families with behavioral health needs
  • Comfort with public speaking and meeting facilitation with a demonstrated ability to represent WVCW to the public as well as internal teams.
  • Experience working with underserved populations is preferred.
  • Knowledge of de-escalation methods or ability to be trained in de-escalation methods.
  • Ability to adhere to WVCW's drug-free workplace which encourages a safe, healthy, and productive work environment.
  • Physical ability to bend, stoop, kneel, squat, twist, reach, pull and lift heavy objects; climb stairs several times a day.
  • Must pass a pre-employment drug screen and criminal background check.
  • Must possess a current driver's license, pass a DMV background check and be designated an "acceptable" driver as outlined in WVCW's Fleet Safety Policy. Must be willing to provide services in the community.
  • Must adhere to the agency's non-discrimination policies.

  • Must have strong computer skills or willingness to learn.
